Problem
Practical checks for SharePoint access denied. Follow the safe steps below and contact your support team if the issue continues.
These are general troubleshooting checks, not a confirmed diagnosis. Follow your organization's procedures and stop if a step could risk data, safety, or managed equipment.
Symptoms to check
- A user cannot open a site, document, or library even though they recently had access.
- The issue may affect one site or multiple users depending on the permission change.
Possible causes
- Permission changes, group membership updates, or a recently changed site owner may block access.
- Incorrect user type, license status, or a stale sync with the identity system may also cause denial.
Resolution
- Confirm the user is signed in with the correct account and that their Microsoft 365 or SharePoint license is active.
- Check whether the access issue is site-specific or affects several locations. If the user can access other sites, the problem may be limited to one library, folder, or permission group.
- Verify the user is in the correct group or permission role and that the site owner or admin has not recently changed permissions.
- If the issue is in a shared library, ask the site owner to confirm the user’s access level and review whether the item is checked out, restricted, or inherited from a parent folder.
- Escalate to the SharePoint admin with the affected site, exact error, and the user’s role and permission details so the team can review the policy configuration.
Prevention and preparation
- Keep permission changes documented and review site access when users move roles or leave the team.
- Use groups instead of assigning permissions one by one for easier maintenance.
