Problem

Practical checks for Microsoft 365 sync issues. Follow the safe steps below and contact your support team if the issue continues.

These are general troubleshooting checks, not a confirmed diagnosis. Follow your organization's procedures and stop if a step could risk data, safety, or managed equipment.

Symptoms to check

  • Outlook, Teams, or OneDrive stops updating new email, files, or chat messages.
  • The problem may affect one account or several users on the same service.

Possible causes

  • Internet connectivity, account sign-in status, or service outages may be disrupting synchronization.
  • A full storage quota, stale cached credentials, or an outdated app version can block updates.

Resolution

  1. Confirm the account is signed in and that the device has a stable internet connection. Try opening a browser and logging into the Microsoft 365 portal to verify the account works.
  2. Check whether the issue affects one app or multiple Microsoft 365 apps. If Outlook, OneDrive, and Teams all fail at once, test a browser connection to the service and note any error message.
  3. Sign out of the Microsoft 365 app, clear cached credentials if prompted, and sign back in. If you use a managed device, follow the organization's sign-in and account recovery policy.
  4. Check storage limits, mailbox size, and whether the device is running the latest Office or Teams update. Update the app from the official Microsoft source before retrying.
  5. Restart the device once and retry the sync. If the issue persists, collect screenshots or exact error text and open a support ticket with the affected app and user account.

Prevention and preparation

  • Keep Microsoft 365 apps updated and confirm the account license is active.
  • Monitor storage limits and report syncing problems early before they affect more users.
