Symptoms to check

  • Hardware is missing from records, assigned to the wrong person, or not visible in inventory systems.
  • The issue may affect laptops, printers, monitors, or network equipment across the organization.

Possible causes

  • Asset data may be outdated, duplicated, or incomplete after a device change or move.
  • Incorrect user assignment, missing serial numbers, or poor tracking during onboarding can cause confusion.

Resolution

  1. Confirm the asset tag, serial number, and assigned user or location before making changes to the inventory record.
  2. Check whether the issue is a reporting problem, a missing record, or a device assignment mismatch. Compare the asset management system with the physical device and the user’s inventory report.
  3. Update the asset record with the current owner, department, status, and warranty or support information. Do not guess details that are not verified.
  4. If the device was issued to a user or retired from service, ensure the status is changed and any related equipment or accessories are listed correctly.
  5. Escalate to the asset administrator if the item is missing, lost, or shows duplicate entries. Include the serial number, model, last known user, and any recent change in status.

Prevention and preparation

  • Use a consistent naming and tagging method for all devices and accessories.
  • Review inventory data whenever devices are assigned, repaired, or retired.
