Problem
A guest or external participant cannot join a Microsoft Teams meeting, sees a blocking message, or is stuck waiting in the lobby.
External access problems can be caused by meeting settings, guest guest access, network restrictions, or a participant’s own client or browser issue.
Symptoms to check
- External user receives a message that access was denied or the meeting can’t be joined.
- Guest can sometimes join but cannot use audio, video, or chat.
- Only certain participants are affected or only from outside the organization.
Possible causes
- External access or guest access is not enabled for the tenant or meeting.
- The meeting invite is expired or the link was created with restricted options.
- Browser permissions, network restrictions, or audio device settings block connectivity.
Resolution
- Confirm whether the meeting was created with the correct guest access settings and whether the organizer has allowed external participants.
- Ask the user to join from the latest Teams client or supported browser and verify microphone and camera permissions are enabled.
- Have the organizer check whether the user is in the allowed list, lobby, or waiting room and whether the meeting policies permit guest access.
- Test a new meeting link or restart the client if the user is stuck on a loading screen or failing to connect.
- If the problem affects multiple external participants, escalate to the Teams admin or Microsoft 365 support with the meeting ID, timestamps, and user examples.
Prevention and preparation
- Review meeting policies before inviting external participants.
- Confirm the user’s browser and app permissions before the meeting starts.
- Document regular guest access and meeting join failures for faster troubleshooting.
