Problem

A device or asset is missing from the inventory, not configured correctly for deployment, or overdue for retirement and secure disposal.

Without a clear lifecycle process, support teams struggle to track ownership, secure data, and maintain a healthy hardware inventory across the organization.

Symptoms to check

  • Assets are not tracked in the inventory or appear assigned to the wrong user.
  • New devices are not ready for use after delivery or imaging.
  • Retired equipment still contains data or is still connected to company systems.

Possible causes

  • Procurement and asset tags are not recorded at the time of purchase.
  • Deployment steps are missing or not documented for imaging and setup.
  • Hardware retirement does not include wiping, disposal, or inventory updates.

Resolution

  1. Verify the asset record includes the serial number, assigned user, location, purchase date, and support status before troubleshooting a missing or broken device.
  2. Document the deployment checklist: imaging, software install, baseline security settings, and user onboarding steps before the device is handed over.
  3. If the asset is missing or not working, compare the inventory status against the actual device, room, or user to identify where ownership or tracking broke down.
  4. For retired equipment, confirm data wipe and disposal steps are complete before the device leaves inventory. Update the asset record to show retirement and secure removal.
  5. Close the lifecycle issue once the record is accurate and the device is either deployed, repaired, or properly retired.

Prevention and preparation

  • Use a consistent asset register for all hardware purchases, assignments, and retirements.
  • Document the deployment and retirement steps so support can repeat them reliably.
  • Keep security and compliance requirements in the asset process from start to finish.
